Potluck Christmas Party

Ellen,
A friend and I are hosting our first Christmas party this year in December. The dinner will be for 150 people and we wanted it to be a potluck dinner. We are going to be having a signup sheet so people can write down what they are bringing. What can we do to prevent everyone bringing the same thing and actually having a GOOD Christmas Dinner?? We will charging so much per person to cover the venue and other miscellaneous so we should have extra money to cover some of the food ourselves. Any ideas? I would love the help.

It is a little unusual to charge for a party and also have people bring food...

Also, you will need 4 serving lines (2 sets of two sided tables) for this many people, and somebody has to make sure about the same things go on each table.

If you have a signup sheet, divide it into areas of food and specify how much, then put numbered slots below each area. For example:

Appetizers/ relish trays for 10-12
12 slots

Meats for 8
20 slots

Potatoes (please indicate white or sweet) for 10-12/ 13x9 pan
12 slots

Other starches for 10-12/ 13x9 pan
12 slots

Breads and rolls For 24
6 slots

Gravy 1 gallon
4 slots

Cranberry relish/ mold for 16
6 slots (and you have some cans for backup)

Holiday Veggies, cooked for 10-12/ 13x9 pan
12 slots

Your specialty (please indicate what) for 10-12/ 13x9 pan
10 slots

Desserts (please indicate what)
12 slots

Napkins/plates/silverware/ for 18
8 slots

Beverages
slots depends on what kinds of beverages you plan and what YOU are supplying

Thank you Ellen... I know that it is a little different but this is the only way for it to work. We dont know any reasonable caterers that wont charge an outrageous amount per person. Many people said that they won't come if we do it that way. So, everyone thought we could do it ourselves. We do have access to a kitchen that day but for only a few hours before the party. We are planning on covering the main meat, paper products, beverages and desserts. again thank you. We really appreciate it!!!! :)

Ellen,
I was talking to my partner and she said that we could try doing everything overselves. Of course, we would have to buy alot of things store boughten because we dont have the facilities to make anything and then refrigerate it. What would you consider a reasonable cost for each person? Please be mindful that we also have to cover the cost of the hall, dj service, decorations, and giveaway prizes.

Two people can't do this for 150 people by themselves, especially with a limited kitchen. Stick with your original plan, or offer the signup option of contributing cash OR bringing food. If you charge it out, it is usual to charge 3 times your food cost for each person PLUS the share for the DJ etc.
