Wedding reception for 200

We are self catering my sons wedding for about 200 people. The will be getting married at 2:00 & the reception will be at 5:00 or 6:00 pm. Most of the food will be cooked in roasters. We were thinking about getting the food at Cosco. The menu is meatballs, gravy, mashed potatoes (possiblly instant), corn, buns, punch, & coffee. We were also thinking of doing a veggie tray & meat & cheese tray, & possiblly mixed fruit. Can you tell me if the totals I have come up with are correct? I definately don't want to run out of food but want to make sure there is plenty for everybody to eat while trying to keep the cost down. 1000 1 inch meatballs. 80 lbs of potatoes. I'm not sure about the amount if we use instant potatoes. 18 doz buns. 12-20 gallons of punch. 3 lbs of regular coffee & 1 lb of decaf coffee. 16 lbs combined vegetables. 4 quarts of dip. 75 cups of mixed fruit. 40 lbs of meat & 20 lbs of cheese. I could find the amounts for the corn or gravy.

You did well on most amounts, and I have some menu suggestions:

For the veggie trays you need at east 25 pounds ready to eat veggies.

Add a green vegetable, such as the better green bean casserole in my holiday cooking section. You would need just 3 times the recipe for 60.

Don't serve instant mashed potatoes. If fresh are too much work, switch to a baked rice pilaf- much easier to prepare, nice with meatballs, not expensive.

For the fruit cup, you want at least 100 cups= 25 quarts, or about 6 1/2 gallons. If it is self serve, increase to about 8 gallons.

Get the meat deli sliced (thin).

Add a condiment table (see the sandwich event page) if you are having a sandwich option.

Corn is 20-22 pounds per 100 people.

Gravy is 1/3 cup per person, but I would put it on the meatballs, not separate, or they will dry out.

Can we make the potatoes the night before & keep them warm in the roaster? If we don't do the appitizers (meat & cheese tray, veggie tray & fruit bowl) do I need to adjust the amounts & if so how much. They thought of doing nuts, mints & party mix instead.

Daisy, you can't make potatoes and keep them warm all night. See the freezable holdable mashed potato recipe for advice on holding mashed potatoes. I still think rice would be a better choice.

If you don't have the appetizers, what are the guests going to do during the hour while they wait for the couple to do photos, change clothes, etc?

I think you would need to keep the fruit trays or add another salad to the main table, and that second green vegetable really is a good idea.

Nuts and mints are 6 pounds each per 100 and you want about 1/3 to 1/2 cup party mix. I would stick with the fruit and veggie tray, omit the meat and cheese and add a dip with chips, such as salsa or queso, instead, rather than omitting the appetizers.
